Fill it in below, then print it or save it as a PDF. It's pre-filled with typical photographer line items (example prices only: replace them with yours). It adds GST at 10% if you're registered and switches the heading to "Invoice" with a no-GST line if you're not. Nothing you type leaves your browser.

What a photographer invoice should show
A photography invoice doubles as a record of what the client bought: the session, the edits, the deliverables and the licence. Spell out the licence terms to avoid disputes about where images can be used.
Line-item wording you can borrow
Specific descriptions get paid faster than "labour and materials". Examples for photographers:
- Booking deposit: wedding coverage, 12 Mar 2027 (non-refundable)
- Half-day commercial shoot, 4 hours on location
- Editing and retouching: 25 selected images
- Usage licence: online and social, 12 months, non-exclusive
- Product photography: 30 SKUs on white background
- Fine art print, A2, archival paper
- Second shooter, 6 hours
- Travel: 60 km return at $0.95/km
If you're registered for GST, a tax invoice for a sale under $1,000 must show: that it's a tax invoice, your identity and ABN, the issue date, a description with quantity and price, the GST (or "Total price includes GST" if GST is exactly 1/11 of the total) and how much of each sale is taxable. From $1,000, add the buyer's identity or ABN. The template covers all of these.
Tips for photographers
- Spell out the licence: where the images can be used, for how long and whether it is exclusive.
- Invoice the booking deposit separately and show it as paid on the final invoice.
- For overseas clients, the GST treatment can differ; check the ATO guidance or ask your tax agent.
- Give every invoice a unique number (generator) and send it the day the job finishes.
Questions
Is a usage licence taxable?
For an Australian customer, generally yes when you're registered. Sales to overseas customers can be GST-free in some cases, so check the ATO rules.
Do I charge GST on travel?
If you're registered and you charge the customer for travel, it's part of your taxable sale.
If the invoice isn't paid
Use a polite, consistent schedule: a heads-up 3 days before the due date, a reminder on the day, then +7, +14 and +30 days. The free reminder email generator writes them, and the late payment interest calculator works out interest if your terms allow it.
